Travel Information and Terms & Conditions

Please take time to read the travel information and Terms & Conditions below. Use the quick links to go directly to a subject.

Booking and tickets

All journeys start and finish at Cheltenham Race Course Station (GL50 4SH).

All tickets must be pre-booked (but please see additional information about wheelchair bookings below); there are no tickets on sale at the station.

When booking, you will be asked to provide the age and gender of the children. This is so that we can provide the most appropriate presents for them. Please state age of the children on the date of your visit, not the date of booking. Presents are not intended for children over the age of 14. Babies under one year of age will receive a nominal present.

Tickets are normally ‘print at home’. You will need to bring your tickets, either printed or available on your smart device, to show at Santa Reception. Alternatively, you may also opt to have the ticket/s posted to you, but we will then need to add a £1 handling charge - Please buy your ticket at least 10 working days before you want to travel to allow processing and postage time.

Adults’ and children’s tickets are NOT interchangeable.

You will need to present your tickets at Santa Reception at Cheltenham for inspection before being allowed onto the platform. All tickets purchased are for a journey departing at a specific time and on a specific day. Passengers missing their booked train will not be able to travel on a later train that day, nor on a different day without making a new booking.

Refund, alterations and cancellation policy

If you are unable to travel on your booked date we will try to accommodate refunds if they are requested at least 14 days prior to travel. If the travel date is within 14 days, refunds can only be considered if the tickets can be re-sold. Requests for refunds should be made by telephone 01242 621905 (Mon – Fri 09:00 to 16:00) and confirmed by e-mail to development@gwsr.com. No administration fee will apply to refunds.

Similarly, we will try to accommodate alterations if requested at least 14 days prior to travel and provided there are seats available on the new date. No administration fee will apply to alterations.

Although every effort will be made to run the trains as advertised, the GWSR reserves the right to cancel, alter or suspend services without notice. The liability in the event of cancellation will be limited to a refund of the appropriate part of the fare.

Pushchairs and buggies

Because of the types of carriages in use, we can only accommodate small, foldable buggies on the train, which must be put inside your compartment or in your seating area. Also, there is no storage space at the station so, if possible, please carry young children onto the train and leave pushchairs and buggies in your car.

Wheelchairs - require phone booking

We can only accommodate one pre-booked wheelchair, in a dedicated area, on each  Santa Express  train. Please DO NOT book online if you need to bring a wheelchair; instead, please call 01242 621905 (Mon- Fri 09:00 to 16:00) to check availability and to make your booking.  If you make a booking online, you will be allocated a non-accessible compartment and may be unable to travel on the day.

Dogs

We regret that we will not be able carry dogs (except for assistance dogs) on our  Santa Express  trains.

Catering

At the North Pole (Winchcombe Station) our griddle will be selling baps filled with bacon, burgers or sausages. Complimentary Mince Pies, Mulled Wie, Hot and Cold drinks, biscuits and fruit are all available from the Coffee Pot Cafe.
